Work shift planning quickly becomes difficult when information is scattered. Does the shift have enough people with the right skills? Who can still be assigned more shifts? Who is off work?

Deltabit brings the information needed for shift planning into one view. You can see shifts, employees, tasks, absences, skills and accumulated hours at a glance. When changes come up, you can update the plan and publish the shifts to employees right away.

Plan shifts that match your specific needs

Work shift planning is based on weekly recurring shift templates. You can create as many shifts as you need and add one-off shifts for individual days. We help you create the shift models.

In the settings, you can define the required number of employees and tasks for each shift. This lets you see directly in the planning view whether the need is covered.

Add people to shifts in a flexible planning view

Once the planning template is ready, employees are added to shifts in the planning view. You can add people one by one, as ready-made groups or by selecting several people at once.

When you add a group to a shift, tasks are updated automatically. You can copy the previous move to the following shifts or a completed weekly plan to selected weeks.

Ensure each shift has the right people and skills

By an employee’s name, you can see their planning period, planned shifts, absences and skills directly in the planning view. This means you do not need to jump between separate views while planning.

In addition to defining the required tasks and skills for shifts and employees, you can also set validity periods for employee skills, such as a first aid certificate.

Monitor target hours while planning shifts

Target hours are shown directly in work shift planning. You can see how many hours have already been planned for a person, how many hours are still missing from the target or whether too many hours are being planned.

The hour target can have minimum and maximum limits. You can also filter the view to show people whose target hours are not yet fulfilled and who can be assigned more shifts.

Filter the work shift planning view as needed

The work shift planning view can be filtered according to what you need at that moment. You can hide tasks, persons, hours and absences, and narrow the view by shift group or work time group.

Person search helps you find the employee you are looking for. The view remains clear even when the planning situation is complex.

Consider absences and public holidays in work shift planning

Work shift planning can take absences and exception days into account. For example, a public holiday can reduce target hours, and absences can be included in planned hours.

This makes planning easier when a week includes vacation days, sick leave or other exceptions. The planner can see the situation clearly while creating the shifts and adjust the plan in time.

Publish the finished shift list to employees

When the plan is ready, you can publish the shifts to employees. Publishing can be done one shift at a time or by week. You can also add a message for the employee in connection with the shift.

Employees can view their published shifts on their phone whenever and wherever they need. Shifts can also be checked on a computer or from a printed shift list.

Manage sudden shift changes in a controlled way

If shifts need to be changed, no worries – you can edit the list directly in the planning view and then update the changes for employees. Employees can see in the shift list’s change log what changes have been made to their shifts.

Sick leave rarely comes with advance notice. Because absences are visible in the planning view right away, they are also easier to notice in time.
